Displaying dynamic and interactive scientific posters at the IDC 2026
What we delivered
For this project, we supplied a complete ePosters experience designed for an active conference environment. The setup included two kiosk stations for on site browsing and a mobile version integrated into the event's mobile app so attendees could view content from their own devices. The goal was simple. Delegates needed a fast and intuitive way to find posters, view research, and move through the program without needing printed poster walls or complicated instructions. The event team also needed visibility on how the system was being used.
Delivery checklist
- Supplied and configured 2 kiosk stations for delegate access
- Created a mobile ePosters experience for personal device browsing and integrated it into the event's mobile app
- Supported a clean browsing flow for conference attendees
- Enabled access to poster content during the event
- Collected usage data from the experience
- Presented usage insights back to the client
This type of setup works well for medical, academic, and research based conferences because delegates often want to browse content at their own pace. Some attendees prefer to stand at a large kiosk and explore the available posters, while others prefer to save time and browse from their phone between sessions.
The challenge
Conference environments are busy. People are moving between keynote sessions, workshops, networking breaks, sponsor areas, and meetings. For a healthcare conference focused on dementia, the ePosters system needed to feel calm, professional, and easy to use. The challenge was not just displaying posters on a screen. The experience needed to support discovery. Delegates had to be able to find relevant research quickly, engage with the content, and continue using the platform without needing support from event staff. There were also practical considerations. The solution needed to work in the venue, suit different browsing behaviours, and provide the client with meaningful usage data after the event.
Key requirements
- Accessibility: The interface needed to be clear for a wide range of delegates.
- Speed: Attendees needed to move through posters quickly during short breaks.
- Flexibility: The system needed to work across kiosk screens and mobile devices.
- Reliability: The experience had to perform consistently throughout the event.
- Reporting: The client needed useful data to understand attendee engagement.
Our approach
We approached this project with a practical event mindset. Instead of relying on one access point, we provided both kiosk and mobile access. This gave attendees more choice and reduced pressure on the physical screens during peak times. The kiosk experience suited delegates who wanted to browse in the conference area. It provided a visible digital destination and helped make the ePosters component feel like an integrated part of the event. The mobile experience was integrated into the event's mobile app and supported delegates who preferred to browse privately, revisit posters later, or access content while moving between sessions.
How the experience worked
- Delegates arrived at the ePosters area: The kiosks acted as clear browsing points within the venue.
- Attendees explored poster content: Users could search, browse, and open posters on the kiosk screens.
- Mobile access supported convenience: Delegates could also view posters from their own device through the event's mobile app.
- Engagement data was recorded: Usage activity was collected during the event.
- Insights were presented to the client: We compiled the data and shared it in a practical format.
From a delegate perspective, the experience needed to feel natural. There should be no learning curve, no complicated process, and no need to ask where the posters were. The setup made the content available through familiar digital touchpoints.
| Access method | Best suited for | Benefit |
|---|---|---|
| Kiosk experience | On site browsing in the conference area | Highly visible and easy for delegates to use during breaks |
| Mobile experience | Personal device access | Convenient for browsing between sessions or away from the kiosk area |
| Usage reporting | Event organisers and stakeholders | Provides insight into attendee engagement with poster content |
Result and client value
The ePosters solution was well received at the International Dementia Conference 2026. Delegates used both the kiosk stations and the mobile version, which confirmed the value of providing more than one way to access poster content. The physical kiosks gave the event a strong digital presence and helped attendees discover the ePosters area. The mobile version, integrated into the event's mobile app, extended access beyond the kiosk location and gave delegates more control over when and how they engaged with the posters. The mobile version was also used post event, giving attendees a convenient way to revisit poster content after the conference and helping the client understand ongoing delegate engagement. After the event, we collected the usage data and presented it to the client. This reporting gave the event team a clearer picture of engagement and helped show how delegates interacted with the digital poster experience.
What worked well
- Delegates used the on site kiosks throughout the event
- The mobile version was also used, giving attendees extra flexibility
- The ePosters area supported a modern conference experience
- Digital access reduced reliance on traditional printed poster formats
- Usage data provided useful feedback for the client
For conferences with research content, digital poster systems can do more than display information. They can help organisers understand what people are engaging with, how they are accessing the content, and which delivery methods provide the best experience.
Portfolio recap
The International Dementia Conference 2026 ePosters project showed how a simple digital setup can improve the way delegates access research content. By combining 2 kiosk stations with a mobile experience integrated into the event's mobile app, the event supported different attendee preferences and created a more flexible way to browse posters.
- Service delivered: ePosters kiosk and event mobile app-integrated experience
- Event location: Hilton Sydney
- Audience: Healthcare, dementia care, research, and conference delegates
- Main benefit: Easier access to poster content across kiosk and mobile
- Client outcome: Data collected and presented for post event review
This project is a good example of how practical digital solutions can support professional healthcare events while keeping the delegate experience clear, modern, and easy to use.
